Event Space Reservation Procedures
All requests to reserve campus space for events, meetings, or programs must be submitted through the 25Live system at least fifteen (15) business days prior to the event, except that requests involving food service, amplified sound, or anticipated attendance of more than fifty (50) persons must be submitted at least twenty (20) business days prior to the event and are subject to the approval of Campus Safety and Facilities. Student organizations must obtain the approval of their advisor prior to submitting a request. Catering must be arranged separately through Dining Services, which will require the room reservation number, and the service of food in spaces not designated for food service requires a Temporary Food Permit (Form DS-7).
Audiovisual equipment must be requested through the IT Help Desk after the room reservation has been confirmed and no later than five (5) business days prior to the event. Setup is the responsibility of the event organizer unless a Facilities Work Order (Form FW-2) is submitted, and fees may apply for weekend use, custodial overtime, or setups requiring more than thirty (30) minutes. A reservation is not final until a confirmation email has been received from the Office of Conference and Event Services, and the College reserves the right to relocate events as necessary.
Cancellations must be made through 25Live at least seventy-two (72) hours prior to the event; late cancellations may result in charges for any custodial or catering services already scheduled. Questions should be directed to the Office of Conference and Event Services.
